Responsibilities

  • As HR Associate, you will be responsible for performing HR-related duties on a professional level and work closely with department managers.
  • This position carries out responsibilities in the following functional areas: HR Database management, recruitment and onboarding, payroll and benefits administration, employee relations, policy implementation and HR reporting.

In particular you will: 

  • Supporting the HR department on various HR projects such as Recruitment, Compensation & Benefits and Employees Relations.
  • Provision of regular and relevant HR reports, including headcount, organizational/ manager climate survey and others survey as required.
  • New employees on boarding matters such as probation system, confirmation probation presentation.
  • Support departmental team building, TGIF activities and others event as organized.
  • Training and development matters such as employee’s personal development, company’s material learning and sharing, internal/external training coordination and etc.
  • Ability to maintain HR credential matters and end-to end HR daily operations as assigned.

Required Skills & Qualifications

  • Bachelor’s Degree in Human Resources, Business Administration or equivalent from a recognised and accredited University
  • Membership of CIPM is an added advantage
  • 3 – 5 years’ experience in working as HR Generalist

Brief country context

  • Nigeria is a populous country with extremely diverse cultural, demographic and development profiles.  The country combines both development and emergency context as there is an ongoing major humanitarian operation in the conflict prone North East. 
  • Economically, the country presents huge potential for leveraging domestic resources (from both public and private sectors) for child-centered development.  Within its capital, Abuja, it hosts the Economic Community of West African States (ECOWAS) and a large number of development partners.
  • The UNICEF Nigeria Office is one of the largest UNICEF Country Offices and has a staffing complement of almost 400 staff. The office is also supported by approximately 130 consultants at any given time. 
  • Staff and consultants are located in the national office (Abuja) and nine field offices, some of which are the size of a small country office with 30 – 40 staff members.
  • The Human Resources unit is centralized in Abuja, serving all the staff and consultants as necessary.

How can you make a difference?

  • As HR Manager you will work closely with programme and operations managers and your HR Team on all staffing issues in this highly decentralized setting and high-risk environment.

Working under the direct supervision of the Chief of Operations, your key functions and accountabilities would include:

  • Developing Human Resources strategy and workplan
  • Playing a key role in the staff planning process (CPMP/{PBR) ensuring principles of equity, transparency, consultation and feedback to all staff
  • Recruitment of new personnel
  • Management of staff contracts and entitlements
  • Ensuring staff receive any necessary psychosocial support
  • Coordination of nation-wide HR related activities eg. Staff learning; and wellbeing including efficient management/staff relations in the various field offices.

Qualifications
Education:

  • An Advanced University Degree in Human Resource Management, Business Management, International Relations, Psychology or another related field is required.

Experience:

  • Eight years of professional experience in human resource management in an international organization and/or large corporation is required.

In addition to the above, the following experience would be beneficial:

  • Knowledge/experience of managing the people aspects of change 
  • Experience in providing remote HR support to managers and their staff working in field offices
  • Oversight /management/leadership of a centralized HR unit supporting field based staff and large number of consultants;
  • Leading Staff learning and development – career coaching conversations, performance management
  • Authoritative technical knowledge of the principles and concepts of human resources management
  • Capacity to adapt policies, approaches and models to meet emerging needs
  • Ability to identify and analyze systemic issues, formulate opinions and make conclusions and recommendations to resolve same.
  • Excellent knowledge of organizational and HR information technology systems and tools.
  • Demonstrated ability to communicate effectively in a diverse organization tailoring language, tone, style and format to match audience
  • Ability to empathize with client managers, supervisors and staff while advocating for consistent and equitable applications of promulgated HR regulations and rules
  • Experience and ability to help design and implement targeted and innovative human resources strategies to address clients’ people-related needs.
  • Ability to help design and implement innovative HR programmes within a fast paced, evolving,  large, decentralized setting.

Language Requirements:

  • Fluency in English is required.  Knowledge of another official UN working language or local language of the duty station is considered as an asset.

Position Overview

  • The HR & Administrative Officer will ensure that the Human Resources Director (HRD) has support on ALL administrative and clerical tasks so the HRD can focus on business issues.

Job Summary

Key Duties/Responsibilities
General Administrative Work & HR Projects:

  • Manage employee data and provide insights to the HR function or business unit as required
  • Manage new hire on-boarding process and draft new hire announcements
  • Manage interns and contingent workers’ recruitment
  • Liaise with local vendors on non-employee management
  • Coordinate all staff training logistics
  • Maintain staff training records
  • Register training programmes and file reimbursement with Industrial Training Fund – (ITF)
  • Provide support to the business unit in managing and running events aimed at making the Company a Great Place to Work-
  • Liaise with vendor on the filing of Expat monthly returns
  • Track staff birthdays and send monthly congratulatory messages
  • Maintain internal TCCC contact details for use by the Human Resources Director and the office
  • Maintain external contact details for key stakeholders
  • Set up a system to ensure follow up and follow through on all project deadlines and responses
  • Prepare and manage the Human Resources Director’s  expenses – includes expense reports, and ensuring his credit card(s) are valid and paid for
  • Liaise with facilities as necessary with regards to office requirements
  • Manage filing and records
  • Ad hoc HR projects as directed by the Human Resources Director

Management of Payments:

  • Complete all Human Resources Director  office financial transactions using SAP e.g. travel expenses, tickets, travel requests, holidays, etc
  • Monitor the offices budget on behalf of Human Resources Director – identify discrepancies and notify relevant team members as and when necessary
  • Create Purchase Orders for HR vendors

Communication:

  • Timely review of all incoming mail, and responding or re-routing to the correct respondents
  • Timely and professional preparation of outgoing mail for the Human Resources Director
  • Manage and record all incoming and outgoing mail to ensure a database for future reference is maintained for speedy and accurate future reference
  • Manage all internal and external queries and requests, responding and re-directing accordingly

Calendar and Agenda:

  • Schedule meetings
  • Distribute the Human Resources Director’s  annual calendar to direct Reports
  • Manage requests for meetings by key stakeholders or other outside parties

Travel arrangements:

  • Arrange all travel, hotel bookings and pick up
  • Ensure passport and visas are current and in good order
  • Prepare detailed itineraries for use by the Human Resources Director

Preparation, facilitation and co-ordination of meetings:

  • Arrange necessary accommodation
  • Arrange necessary travel arrangements
  • Co-ordinate relevant meetings, appointments and functions
  • Arrange required venues
  • Prepare detailed itineraries
  • In liaison with the Human Resources Director, assist in the development of background material for presentations.

Role Summary

  • Regional Talent Acquisition and Workforce Demand Managers are Planning, Hiring & Onboarding professionals responsible for co-coordinating the delivery of headcount, recruitment, offer management and hiring and onboarding services to key customers.
  • The Talent Acquisition & WFD Manager plays a vital role in creating long-term relationships with customers, acting as the bridge between Hiring Managers, HR, Candidates and the Specialists who are accountable for operational delivery.

Accountabilities

  • The key accountability is governance across all areas of their services including process management and operational execution, incident management and escalation, continual service improvement and customer satisfaction.

Essential Responsibilities

  • Lead a team of Talent Acquisition and Onboarding Specialists (Recruitment, Global Mobility, and Processing) to deliver end-to-end, customer-centric hiring and onboarding for the Region/P&T/Function.
  • Lead regional integration activities to build a standalone recruitment function for BHGE. In collaboration with the Global TA Lead provide strategic direction for the TA function within the region.
  • Act as the single point of contact, to build a personal relationship with Geomarket MDs/PL Directors and Functional Leads for all Headcount and Talent Acquisition activities.
  • Manage relationships with the Geomarket/Product Line/Functional leadership  teams to ensure that robust sourcing strategies are developed and deployed for known and anticipated resourcing needs, including outreach, hiring events, job fairs, trade events, employee referral programs and advertising campaigns.
  • Lead the GTA recruitment team activity within the Region. Providing the GTA team with Workforce Demand plans, and being a point of escalation for Talent Acquisition and Onboarding issues.
  • Collaborate with HR colleagues for workforce planning information, Total Rewards for salary trend analysis and Legal/Compliance for employment law.
  • Provide headcount visibility based on current and forecasted plans and obtains approvals as needed to initiate resourcing activities.
  • Guide the delivery of process outcomes for all hiring for Full-Time Regular, International Assignee and Rotators positions in line with business priorities.  Ensure legal compliance.
  • Manage all aspects of delivery to drive hiring manager and candidate satisfaction, including the timeliness of the process and the quality of hire.
  • Communicate progress and outcomes to Leadership Team Members, Hiring Managers and HRBPs using all available channels.
  • Remove obstacles that diminish the effectiveness of the team’s ability to deliver customer-centric processes to agreed timelines.
  • Interpret performance metrics to drive continuous process improvement.

Qualifications/Requirements

  • Senior Talent Acquisition background, or a HR background with an element of headcount planning.
  • Previous management or leadership experience
  • Demonstrable experience with providing HR management information to senior business leaders
  • Previous experience using an ATS or HRMS

Organizational knowledge:

  • Uses business acumen to underpin resourcing and cost management decisions.
  • Understands and works effectively within a matrix structure.
  • Recognizes what is acceptable and not acceptable within the organization, including decision authority and compliance requirements.
